Privacy policy

This policy explains how POWA Coach handles personal information: what we collect, why we collect it, how it is protected and the choices you have. By personal information we mean any detail that could reasonably be tied back to a specific person, alone or in combination with other records. We operate under Canadian privacy law and respect the privacy laws of the United States where they apply.

What we collect

  • Account details entered when your account is set up, by you or by the business you train with, such as your name, email address and phone number.
  • Workspace records created by the business you train with or by you, such as training programs, session bookings, coach notes, messages and invoices.
  • Standard technical records created when you use the site, such as the browser and pages requested, held in server logs and reviewed only in aggregate.
  • Details you send through our Book a demo form (your name, organization, role, number of athletes, email and message). We store them, email them to our team at team@powa.co, and use them only to reply to you about POWA. We keep them only as long as we need them to respond to you and follow up on your request. Ask us at team@powa.co and we will delete them. We also note which page you came from, and keep a one-way hash of your IP address, never the address itself, to stop repeated requests. We will not add you to a mailing list.

Payment card details are handled by dedicated payment processors and are not stored on our servers.

How we use it

  • To run the platform and deliver the features you use.
  • To respond when you contact us for support.
  • To process transactions and send messages about them.
  • To send service emails, such as booking changes made by staff, invoices and account notices.
  • To understand how the product is used so we can improve it.

How we protect it

Traffic between your browser and the platform is encrypted. Each business's records are isolated from every other business's at the database level, access inside a workspace is limited by role, and only the few members of our team with a specific need can reach production data, all under confidentiality obligations. We review our security practices regularly. Should a breach ever affect your personal information, we will tell you by email as soon as feasible, and in any case within seven business days.

Cookies

Cookies are small files a website places in your browser so it can recognize your browser on a later visit. We use them to keep you signed in and to remember preferences between visits. Your browser settings let you refuse cookies or warn you before accepting them; without cookies, signing in and some other features will not work properly.

No advertising or tracking networks

We do not sell or rent personal information. We do not run third-party advertising networks on the platform and we do not use behavioral advertising cookies, so there is no cross-site tracking here for a Do Not Track signal to switch off.

When information is shared

We share personal information only with service providers who help us operate the platform, such as hosting, payment and email delivery providers, and only under confidentiality obligations. We may also disclose information to meet a legal obligation, keep people safe, or uphold these policies. Information you enter into a business's workspace is visible to that business according to its own roles and settings.

Links to other sites

Pages on the platform may occasionally link to sites we do not operate. Those sites have their own privacy practices, which we are not responsible for.

Children and youth athletes

Many athletes served by businesses on the platform are minors. Their information is entered and managed by the business they train with, with a parent or guardian involved, and messaging with minors is restricted by the platform's child-safe chat rules: every chat with a minor includes adult staff and a second adult. We do not market to children under 13, and we support the goals of the Children's Online Privacy Protection Act. Parents and guardians can review or ask for removal of a child's information through their business or by contacting us directly.

Email

We collect email addresses to answer inquiries, handle billing and send information related to your account and services. You can turn off optional emails in your notification settings. Some service emails, such as invoices, invitations and password resets, cannot be turned off. Opting out of marketing email does not stop essential service messages such as invoices and booking changes made by staff.

Your choices

You can review and update your account details inside your workspace. For access, correction or deletion requests beyond that, contact the business you train with or write to us and we will help.

Changes to this policy

If this policy changes, the updated version will be posted here with a new date at the top.
